Terms & Conditions

Your booking will be confirmed by 70% upfront advance through Credit Card (Visa, Master Card, Amex). A Confirmation Letter will be sent when all reservations have been made with advance payment. The balance amount should be paid 3 weeks prior to arrival through PayPal or Credit Card. The payment of deposit confirms that you accept our booking conditions. If you fail to meet the payment deadline, we reserve the right to cancel your booking and will inform you of this.

Payment Terms – Attention

(A) Payments are required at the time of the booking.

(B) Credit card payments are subject to an additional charge of 1 percent. This contributes to our credit card costs and helps to reduce our basic prices.

(C) Guests must pay all BANK CHARGES in the case of a bank transfer. Failure to do so will invalidate your booking and will bring further change to cover bank charges.

(D) There will be no additional postage fees, booking fees, or other hidden charges. Exchange rates are based on LIVE ON-DAY RATES at the time of booking and are not subject to change.

(E) Late payments risk cancellation.


A) Cancellation by ‘Sri Lanka Vacation Tours’

‘Sri Lanka Vacation Tours’ is dedicated to protecting your booking at its best level of professionalism. But we reserve the right to cancel your booking in any case of irresistible circumstance (Force Majeure). In this event we will return all recoverable costs and, wherever possible, offer an alternative booking of comparable type and quality for your consideration. We cannot be held liable for any incidental expenses that you may incur during arrangements for a booking that is subsequently canceled by us.

B) Cancellation by Guest (You)

  • In the case of canceling a tailor-made itinerary, we reserve the right to levy additional admin costs of up to 10 % of the total booking cost when calculating recoverable costs.
  • We do not normally refund for early checkouts or absences
  • Any individual is wishing to cancel a booking must immediately notify by email, quoting their reference number.
  • The cancellation is timed from 0900 on the next working day which enables us to contact Suppliers.
  • In the event of a group cancellation (by the tour leader), we will hold each individual equally liable for cancellation costs.

If you are canceling the tour:

a) Before 45 days of canceling – we will refund your full amount the same way. We will hold 10% of your total package price as an administrative fee.

b) Before 30 days of canceling – we will charge 25% of the total package price as the cancellation fee plus 10% as an administrative fee.

c) Before 21 days of canceling – we will charge 50% of the total package price as the cancellation fee plus 10% as an administrative fee.

d) Before 14 days of canceling – we will charge 100% of the total package price as the cancellation fee.

Change in Itineraries

A) Itinerary Changes Made by ‘Sri Lanka Vacation Tours’

‘Sri Lanka Vacation Tours’ is committed to high levels of professionalism to protect your booking. Adjustments in the itineraries will only be made in unavoidable or overriding circumstances. All efforts would be made to ensure that these adjustments are in the spirit of the original itinerary and would be discussed with you. If exceptional circumstances (e.g. overbooking of hotels) demand an emergency change of accommodation while you are on holiday, we will refund you appropriately if the replacement hotel is cheaper and pay any additional transfer costs.

B) Itinerary Changes Requested by Guest (You)

‘Sri Lanka Vacation Tours’ offers flexible itineraries. Once an itinerary is finalized, requests for changes to a group or individual itinerary will always be considered, but they may incur cancellation charges.

C) Information Provided by Sri Lanka Vacation Tours

‘Sri Lanka Vacation Tours’ will use all reasonable endeavors to ensure that the information provided is free from errors and omissions and will correct any errors or omissions once notified. We cannot, however, be held responsible for misinformation that a reasonable person could not have expected us to know. Our opinions are our own. Whilst we thoroughly strive for accuracy, these opinions are necessarily subjective to some degree. Occasionally, temporary local circumstances — for example, emergency maintenance work, power cuts, or off-season closure – can make advertised facilities unavailable. We do not take responsibility for consumer comments made in interactive areas of the site, but we do reserve the right to moderate them to comply with the status of the law.

D) Information Provided by Guest (You)

All the information you provide should be true and accurate. We will treat it confidentially and will not forward it to any third party. We do not spam, supply mailing lists, or use personal information in any way other than to secure your booking. We have a strict anti-fraud policy and take responsible steps to protect personal information such as credit card details.


We expect reasonable behavior at all times. If in the considered opinion of our representatives or suppliers, your behavior could cause danger to yourself or others, damage, or persistent offense (including racism), you will be informed of the fact, and your booking may be terminated without compensation. You may also be held responsible for wilful damage.

Customer Care and Complaints Procedure

‘Sri Lanka Vacation Tours’ is fully dedicated to high levels of customer care at all stages of your holiday. This includes solving any problems at source to the benefit and contentment of all parties. Any complaints must be pursued as soon as possible with the supplier of the service (e.g. hotel manager) and our customer care department. If matters are not satisfactorily resolved, you MUST notify ‘Sri Lanka Vacation Tours’ within 24 hours, by e-mail, in a further effort to rectify the situation politely. We provide you with appropriate contact numbers before travel and it is your responsibility to keep them safe. We reserve the right to refuse any liability or compensation if this arbitration procedure is not strictly adhered to.

Check List for Essentials

Make sure to check your flight times on the receipt of your tickets carefully. Minor adjustments to flight times may be made by the airline after the issue of our Travel Voucher. You should also ensure that your travel documents, passports, visas, driving license, insurance details, and amounts of money are in order. If in any case, we do not bear the responsibility regarding this.

Force Majeure

We cannot accept responsibility for Force Majeure – defined in these booking conditions as any specific event which we, as the supplier of the services, could not reasonably have foreseen, influenced, or avoided. These include war, or threat of war, riots, civil strife, terrorism, contamination, extreme or unusual weather conditions, industrial disputes, changes to sports itineraries, natural and nuclear disasters, fire, flight cancellations, or rescheduling by airlines or any similar event beyond our control.

Independent Travel

In the event of an itinerary only part-booked by ‘Sri Lanka Vacation Tours, we cannot be held responsible for the failure of any component of the holiday for which we do not have direct responsibility. This includes any difficulty in finding accommodation or collecting train tickets purchased by us if customers choose to book accommodation-only deals and arrange their transport.


Every holidaymaker, without exception, must possess valid travel insurance, and details of the policy must be stated before travel. ‘Sri Lanka Vacation Tours’ we will refuse travel for all those inadequately insured. It is the passenger’s responsibility to verify whether his/her local health insurance carrier provides coverage while traveling.

We strictly advise you to purchase a comprehensive travel insurance policy to cover all aspects of your tour including the loss of deposits through cancellation, loss of baggage and personal items, personal injury, and death. A waiver must be signed if insurance is declined.

Inoculations (Vaccinations)

All tourists are strongly advised to check with their medical advisers at least a month before travel on recommended inoculations, the need for malaria tablets, and to take other medical advice where their health record suggests it is necessary.

Checklist for Pre – Overseas Travel

Holidays offered by Sri Lanka Vacation Tours range from luxury Itinerary to budget. We will make every effort to ensure that our planning is meticulous. But amenities and infrastructure in Sri Lanka can at times be comparatively underdeveloped. Delays, moments of discomfort, and risk can naturally occur in all travel in the tropics; insects in rooms are common. Booking with us is an implicit acceptance of these facts. Clients are advised to take sensible precautions at all times and familiarize themselves with up-to-date information from independent and reliable sources.

Breach of contract and Negligence

Result of our proven negligence, or that of our suppliers, in respect of arrangements forming part of your holiday itinerary, in cases where all your holiday accommodation and transfers are arranged by us for the entire extent of your stay. This applies to illness, injury, and/or death.


Personal Loss, Injury, and Illness

(Not related to the arrangements made by us)
If you, or any member of your group, suffer loss (such as baggage or valuables), serious illness, personal injury, or death during your holiday, we, or our stated representatives, will provide sympathetic advice and guidance at our discretion.


Guarantee of Price

We guarantee that your holiday will not be subjected to surcharges, except where our costs rise because of (i) flight levies or (ii) changes in Government policy. We will not surcharge for exchange-rate fluctuations.

Sri Lanka Vacation Tours Representatives

‘Sri Lanka Vacation Tours’ assistance on your itinerary will be provided by a chauffeur guide in advance if you have booked transport with us. Further support is available at our dedicated customer care staff in Colombo.


‘Sri Lanka Vacation Tours’ will make sure to supply the agreed accommodation for the tour package preferred by the guest. We will provide the necessary details of the selected hotels in the tour package to the guests in advance. The guests have demanded a careful quality check of the selected hotels before confirming a booking. Once a booking is confirmed, we will proceed with the reservations at the hotels and these cannot be changed under any circumstance before or after the arrival of the guest in Sri Lanka. However, the guests are free to request a hotel change only BEFORE 30 DAYS to the arrival. If in case of guest’s serious claim for a hotel change, ‘Sri Lanka Vacation Tours’ will take it into consideration and try our best to arrange another hotel with the same category; but the guests themselves will have to incur the costs assigned by the new hotels.

A) Policy of Early Check-in

The room is available after 12:00h or 14:00h, if you would like an early check-in (allowed between 06:00h morning to 12:00h afternoon), we will make the arrangement with the hotel, but it will cost 50% of the room rate which should be borne by you.

B) Policy of Late Check-out

General check-out time is before 12:00h. If guests are willing to check out late, (after 12:00h but before 18:00h) an additional 50% of the relevant Room rate will be charged. When guests check out late (after 18:00h), 100% of the relevant room rate will be charged.


‘Sri Lanka Vacation Tours’ never, under any circumstances, recommends or guarantees the value or the quality of any additional product not clearly itemized on the Travel Voucher and which may be purchased during an itinerary arranged in part or whole by Sri Lanka Vacation Tours, even in the case where the product may have been discussed between a client and an employee, chauffeur or representative of the company. Determining the value of a product is entirely the client’s responsibility. We have no duty to intervene in such circumstances.
